Data Deletion

This page explains how to delete your personal information and business data in LinMi, including data that we obtain through the interfaces of third-party platforms such as Meta (WhatsApp, Messenger, and Instagram) and process on behalf of businesses. Deleted data cannot be recovered, so please back up any content you wish to keep before proceeding.

Option 1: Delete Data Yourself in the Console

Deleting customer data: Members with the delete permission (by default, the owner and administrators) can choose Delete customer under Customer Management or from the customer menu on the Chat page. The customer’s profile, tags, and entire chat history (including attachments and translations) are immediately removed from the workspace and cannot be recovered, and they are permanently deleted from our systems within 90 days.

Deleting channel accounts: Members with channel management permissions can delete channel accounts under Channels. Once deleted, the account immediately stops sending and receiving messages, and we deactivate the stored access token or session credentials and delete them within 90 days. For cloud-hosted accounts, we also sign out of the linked devices on the corresponding platform. Please note that deleting a channel account does not delete the customers and chat history created before that point. To delete them as well, please also delete the relevant customers or submit a request by email as described in Option 4.

Deleting members: The owner and administrators can delete members under Workspace settings → Members. Once deleted, the member immediately loses access to the workspace’s data, the member’s sign-in sessions are terminated, and the customers previously assigned to the member become unassigned.

Updating account information: You can update or correct your personal profile at any time under Personal settings → Personal info.

Canceling chat sharing: Once you cancel a share under Workspace settings → Chat sharing, the sharing link stops working immediately.

Option 2: Revoke LinMi’s Meta Authorization

If you connected a WhatsApp Business account or a Facebook Page through Facebook authorization, you can sign in to Facebook, go to Settings & privacy → Settings → Business Integrations, find LinMi, and choose Remove. Once it is removed, we can no longer access your Meta assets through that authorization and no longer receive new data.

For an Instagram professional account connected through Instagram Login, you can remove LinMi in Instagram under Settings → Website permissions → Apps and websites.

Revoking authorization does not automatically delete the conversation data already stored in your workspace. To delete it, please use Option 1, or email us as described in Option 4 and state “Delete Meta Platform Data.”

Option 3: Close an Account, Workspace, or Organization

The console does not yet offer a self-service option for closing accounts. To close your personal account, a workspace, or an entire organization, please email [email protected] from your registered email address. A request to close a workspace or organization must be made by the organization owner and must state the name of the organization or workspace.

After verifying your identity, we will deactivate the relevant accounts or workspaces and delete or anonymize all of their business data within 90 days, including data from Meta and other platforms, access tokens, and channel credentials.

Option 4: Request Deletion of Specific Data by Email

You may also email [email protected] to request the deletion of specific data. In your email, please include your registered email address or account, the scope of the data to be deleted (for example, all conversations under a particular channel account), and any information necessary to verify your identity.

We will reply with the outcome within 30 days after verifying your identity and complete the deletion within 90 days after receiving your request.

End Users: Deleting Data Generated Through WhatsApp, Messenger, Instagram, and Other Platforms

If you are not a registered LinMi user, but an end user who communicates via WhatsApp, Messenger, Instagram, Telegram, or another platform with a business that uses LinMi, your messages and contact information are managed by that business’s workspace.

You may contact the business directly and ask it to delete your customer profile and chat history in LinMi. Alternatively, you may email [email protected] with the subject line “End-user data deletion,” stating the platform and the phone number or account identifier you used to communicate with that business, as well as the name or number of the business. After verifying that you control that number or account, we will help locate and delete the relevant data. We will reply within 30 days and complete the deletion within 90 days.

You can also delete the conversation or block the business within the platform concerned to stop sending it further information. This does not delete messages the business has already received.

Scope of Deletion and Retention Exceptions

Once deletion is complete, the relevant customer profiles, chat history, translations, attachments, and raw message data are erased from our production systems and backups.

Messages that have already been delivered to the other party through a third-party platform remain on that platform and on the other party’s devices, and we cannot delete them on your behalf.

Information that we are required by laws or regulations to retain (such as transaction and invoicing records), and the minimum security records necessary to prevent abuse, are retained separately for the period prescribed by law or for as long as necessary, and are deleted when that period expires.
